Concur Implementation Plan

Duke contracted with Concur in December 2018.  The implementation project launched in March 2019 and was completed in March 2021.  Resources related to the implementation can be found here.

Historical Timeline

• March 2019 - Implementation project launched
• April 2019 - System Configuration completed and test system made available
• May 2019 - Contract with World Travel, the travel management company signed
• March 2019 - Training and change management efforts began and are ongoing
• October 2019 - Pilot program begins
• February 2020 - First implementation wave
• May 2020 - Transition to virtual implementation model
• July 2020 - Virtual implemenation waves launch
• March 2021 - Implementation Complete

Implementation Strategy

Concur went live with a pilot group that included representatives from the university and health system in October 2019.  Implementation was to continue in three waves with Concur being fully implemented in August 2020; however in March 2020, Duke shifted priorities to support the global response to COVID-19.  The implementation process was temporarily suspended until May 2020 when the decision was made to transition Concur to a virtual implementation model.  Wave 2 launched virtually in July 2020 and implementation will continue, similarly, in smaller waves across the institution with implementation to be completed by the Spring of 2021.

Preparing for Implementation

• Evaluate spending and transition to the appropriate purchasing method
• Evaluate cardholder profiles
• Participate in virtual overview, training and working sessions
• Watch demo videos, review session recordings and questions & answers.

Concur Implementation Session Recordings

Concur session recordings are accessible in the LMS and should be viewed using IE or Firefox.  These recordings may be used by Duke staff supporting Concur implementation in any wave who are unable to attend their wave's scheduled session.
